Job Summary:

Manages HWL time approval and exception process through VMS Platform. Follows up with clients and agencies on a weekly basis to ensure all timecard entries are approved. Keeps records and accounts accurate and current.  Researches and resolves discrepancies.  Completes related reports, summaries, and records.    

Job Description:

  • Communicate with facilities via phone and email to ensure all time files/approvals are received from facilities.

  • Verify and approve time entries in HWL platform per guidelines at each facility by using time reports obtained from the facilities, importing time files into the HWL platform, or getting direct approval of time entries from the facilities.

  • Resolve any facility time report file upload errors, ensuring accurate and complete time imports.

  • Maintain organized records of timecard approvals.

  • Work with facilities to correct time entry as requested.

  • Facilitate and resolve time disputes with agencies and facilities.

  • Maintain the HWL time inbox answering queries from both facilities and agencies.

  • Works with HWL Account Managers to review and approve expenses per guidelines for each facility.

  • Reviews credit/debit/exception entries for accuracy. Approves valid exceptions, seeking facility approval when necessary.

  • Maintains all exceptions in HWL platform, including cancellation fees.

  • Familiar with cancellation fee policies for each facility. Bills cancellation fees when appropriate.

  • Assists in researching and resolving MSP AR billing and payment issues.

  • Completes other AR and billing tasks as assigned.

  • Maintains the Company’s professional reputation throughout all contact with all external contacts, including clients and agencies.

Qualifications:

  • High school graduate or equivalent.

  • Additional coursework preferred.

  • Knowledge of related computer applications. 

  • One to two years of previous billing, accounting or payroll experience preferred.

  • Well organized and detail oriented.

  • Good math skills.

  • Good attention to detail and accuracy. 

  • Cooperative and willing to assist others.

  • Able to use Excel, calculator, and other computer programs.

We are seeking applicants that can work remotely and live in AL, AR, DE, FL, GA, IL, IN, IA, KS, KY, LA, MA, ME, MI, MN, MO, MS, NC, ND, NE, NH, OK, PA, SC, SD, TN, VA, TX, VT, WI, WV that will allow them to travel easily to client sites and company meetings. Must be able to work 8:30am-5:30pm EST.
