The Benefits Specialist will perform a variety of administrative tasks for various health & welfare benefits plans including medical/Rx, dental, vision, life, disability, tax advantaged accounts, 401(k), leave of absence and FMLA. Duties include day-to-day administration and annual events including open enrollment, new hire onboarding and benefits audits. The Benefits Specialist will deliver superior customer service, using excellent time management, problem-solving and analytical skills. This position will assist with HCMS transactional tasks and must be comfortable working in a fast-paced, complex environment supporting multiple companies in a shared services model. They must demonstrate strong technical, interpersonal and communication skills and the ability to work across all levels of the organization.

The Benefits Specialist will ensure benefits administration accuracy and data integrity and will be responsible for handling confidential information and maintaining confidentiality.

This position reports to the Benefits & Compliance Manager.

Description:

  • Support the administration of all benefit programs.
  • Help associates with benefit inquiries to ensure quick, equitable, and courteous resolution.
  • Work with Benefits, Payroll and HCMS teams to ensure data accuracy for records and file transmission.
  • Assist with benefits communications and resource information updates.
  • Assist with vendor implementations and integrations.
  • Processing new enrollments, benefit changes and terminations.
  • Maintaining positive vendor contact to investigate problems and resolve non-routine situations.
  • Work with the HRBPs for benefits communications and associate support.
  • Educate associates about company benefits, amenities and resources.
  • Audit, verify, and reconcile vendor bills and authorized payments.
  • Ensure compliance with ACA, DOL, ERISA, ADA, COBRA, FMLA & other state/federal regulations.
  • Maintain and update employee benefit files, benefit database and other record keeping.
  • Ensure the accuracy of benefit enrollments and corresponding payroll deductions.
  • Support Leave of Absence administration.
  • Assist with reporting and tracking of paid benefit time usage and accruals in HCMS system.
  • Complete various benefits audits and special projects as needed.

Requirements:

Education/Certifications

  • Bachelor’s degree required.
  • CEBS, SHRM, or other certification desired.

Experience Required:

  • 3+ years of experience in benefits administration.
  • Exceptional customer service skills for associates, internal/external partners.
  • Experience with HCMS systems such as UltiPro, ADP, Workday or others.
  • Advanced MS Office skills including Excel, Word, and PowerPoint required.
  • Strong organizational skills and attention to details. Demonstrated time-management skills.
  • Excellent analytical and problem-solving skills with solution-oriented approach.
  • Exceptional written and verbal communication skills. Able to maintain professionalism during stressful situations.
  • Ability to maintain confidentiality of information at all times.
  • Service-oriented; Strong interpersonal skills to help associates and assist with resolving issues.
  • Knowledge of state and federal benefits law and regulations.
  • Ability to work in a team environment and be effective with all levels within the organization.
  • Self-motivated with a strong aptitude and desire to learn.
  • Ability to handle daily workload fluctuations and maintain top productivity.
  • Ability to work with or without direct supervision in a fast-paced, changing work environment.
  • Facilitate appropriate process improvement for benefits and HCMS data administration.
  • Strong technical skills related to benefits administration, including spreadsheet management, vendor system navigation via online portals and apps, and the ability to help associates with technical challenges on benefits matters.
